Orlando Venue Pricing

What Does It Cost to Rent an Event Venue in Orlando?

Most Orlando venues quote one of two ways: an hourly rate, or a flat package. Hourly rates across the metro run roughly $110 to $300 an hour for ordinary event space. Banquet halls and ballrooms that seat a few hundred people land between $1,500 and $10,000 for a single event, and all-inclusive packages that bring decor with them generally run $5,000 to $15,000.

At 5959 West the ballroom is $350 to $550 an hour depending on guest count, and our all-inclusive 8-hour packages are $6,950 to $8,950. The rest of this page explains what moves those numbers, and what tends to get added after the quote.

The short answer

What Orlando venues actually charge

Type of spaceTypical Orlando range
Small studio or meeting space, under 50 guests$40–$150 / hour
Mid-size event space$150–$300 / hour
Banquet hall or ballroom, single event$1,500–$10,000
All-inclusive package with decor$5,000–$15,000
Wedding, venue only$3,000–$20,000
Hotel or resort ballroom, per day$5,000–$50,000+

Those are market ranges, not quotes. Two venues of the same size can be thousands apart depending on what the price includes — which is the part worth reading carefully.

What moves the number

Five things that decide your price

1. Guest count

Capacity drives everything else — square footage, staffing, parking, how many chairs have to be set. Most venues price in bands rather than per head. Ours are 50–100, 100–200 and 200–300 guests.

2. Day of the week and month

A Saturday evening in spring is the most expensive slot in Central Florida. A Friday, Sunday or weekday can be 20–40% cheaper for the same room. If your date is flexible, that is the single largest saving available to you.

3. How many hours you actually book

This is where most budgets break. People book the party and forget setup and breakdown. If your event runs 7pm to midnight and your decorator needs three hours beforehand, that is an eight-hour booking, not five. Overtime in Orlando typically runs $200–$500 per extra hour, and some venues forfeit the security deposit entirely if you run over.

4. What is already in the room

Tables, chairs, linens, a stage, a dance floor and a bar either come with the space or get rented separately. Renting those in for 200 guests can add $2,000–$4,000 and a delivery window you have to manage. A cheaper hourly rate with an empty room is often the more expensive evening.

5. Whether you can bring your own vendors

Venues with in-house catering usually require you to use it, often with a food and beverage minimum attached — $1,500 to $5,000 at restaurants, far more at resorts. An open vendor policy lets you shop the catering separately, which is usually where the real savings are.

Read the quote carefully

Costs that show up after the quote

Almost every venue in the market adds some of these. None of them are unusual; what matters is knowing which apply before you sign.

  • Service or administrative fee — commonly 10–22% of the total, and often not shown in the headline price.
  • Florida sales tax — 6.5% in Orange County, applied to the rental.
  • Refundable security deposit — usually $500–$2,000. Ask exactly what forfeits it.
  • Overtime — $200–$500 per hour, sometimes billed in full-hour blocks.
  • Event liability insurance — $100–$300, required by most venues.
  • Outside vendor fees — some venues charge you for using a caterer who is not on their list.
  • Extras — AV, valet, additional power, early access for deliveries.

Our deposit is $1,000 and it is non-refundable, which we say plainly rather than listing it as refundable and then explaining the conditions. Ceremony on site, including flipping the room while guests are at cocktail hour, is a $1,000 add-on.

Which structure is cheaper

Hourly rental or all-inclusive package?

There is no universal answer, but the break-even is fairly predictable. Hourly wins when your event is short, your guest list is modest, or you already have a decorator you love. A package wins once you would be renting in centerpieces, linens, backdrops and uplighting anyway — because at that point you are paying for the same things twice, plus delivery.

A rough test: add up what you would spend on decor rental, then compare it to the gap between the hourly total and the package price. If the decor quote is larger than the gap, the package is cheaper and considerably less work.

Before you sign anything

Nine questions worth asking every venue

  • Is the quoted rate inclusive of the service fee and sales tax, or added to them?
  • Does the rental window include setup and breakdown, or only the event itself?
  • What exactly happens if we run over — billed hourly, or deposit forfeited?
  • Which of tables, chairs, linens, stage and dance floor are included?
  • Can we bring our own caterer, DJ and decorator, and is there a fee if we do?
  • Is there a food and beverage minimum?
  • When can vendors access the building, and does early access cost extra?
  • What does the deposit cover, and what forfeits it?
  • Who from the venue is on site during the event?

If a venue will not answer the overtime and deposit questions in writing before you sign, treat that as the answer.

Common questions

Orlando Venue Cost FAQ

How much does it cost to rent a banquet hall in Orlando?

Most Orlando banquet halls charge between $1,500 and $10,000 for a single event, depending on guest count, day of the week and what is included in the room. All-inclusive packages that bring decor with them typically run $5,000 to $15,000. At 5959 West the ballroom is $350 to $550 per hour depending on guest count, and all-inclusive 8-hour packages run $6,950 to $8,950.

Is it cheaper to rent hourly or book an all-inclusive package?

Hourly is cheaper for short events, smaller guest lists, or when you already have your own decorator. A package becomes cheaper once you would otherwise rent centerpieces, linens, backdrops and uplighting separately, since those rentals for 200 guests often add $2,000 to $4,000 plus delivery. Compare your decor quote against the gap between the two prices.

What hidden fees do Orlando venues charge?

The common additions are a service or administrative fee of 10 to 22 percent, Florida sales tax of 6.5 percent in Orange County, a security deposit of $500 to $2,000, overtime at $200 to $500 per hour, event liability insurance of $100 to $300, and outside vendor fees at venues with a preferred list. Ask whether the quoted rate includes the service fee and tax or sits on top of them.

How many hours should I book for a wedding or quinceañera?

Count the event itself plus setup and breakdown. A reception running 7pm to midnight with a decorator who needs three hours beforehand is an eight-hour booking, not five. Under-booking is the most common and most expensive mistake, because overtime is charged at a higher rate and some venues forfeit the deposit when you run over.

Can I save money by choosing a different date?

Yes, and it is usually the largest saving available. Saturday evenings in spring are the most expensive slot in Central Florida because they compete with weddings, proms and graduations. The same room on a Friday, Sunday or weekday can be 20 to 40 percent cheaper.

Does 5959 West require you to use their caterer?

No. We have a fully open vendor policy and no food and beverage minimum. Bring any licensed caterer, DJ, photographer or decorator you like. Our prep kitchen, with warmers, is available for your caterer to use.
